The Operations Assistant at The PI, Security Academy & Staffing Company supports the whole company's business needs.
The role is partially one of administrative support, but also helps with student set up and training assistance.
The role also includes tracking licenses, proofing applications and contacting officers.
This person is flexible, solutions driven, professional, highly organized and enjoys learning new tasks.
General
Responsibilities:
Open and close the office from the hours of 8:
30am - 5:
30pm (with an hour break or 2, 30 min.

Check voice mails and answer phones - route callers to Chief, VP or send messages to them Coordinate with Chief and VP to maintain schedule and appointments Coordinate available third-party resources as needed Order supplies and maintain equipment as needed Miscellaneous administrative duties as needed in support of management, (Chief, VP, Ops Director) Sanitize and clean student desks and bathroom at end of day on rotating days with coworkers Research technology as needed to update training procedures Mail out marketing materials and suggest marketing ideas as needed Offer troubleshooting ideas and streamlining suggestions where applicable Develop and maintain student/officer database with licenses and expirations General filing and additional duties as needed Help with student/officer scheduling, respond to newsfeed, make announcements, set up clients, on or off board officers, or technical support on Deputy.

Responsibilities:
Start and assist students during training Proof student work as they are finished for completion Print and put together training packages as needed Grade student tests Ensure all tests are complete before filing in storage Mail out range targets to students Complete and mail report cards to students.
Maintain officer compliance:
call students and officers for various deadlines Gather and notarize state applications:
including DL, state ID, necessary certificates, dispositions, etc.
Document processes and protocols of academy for transition to LMS Download Indeed resumes, add to spreadsheet and contact candidates for general recruiting then route to Chief Update social media pages, website & marketing PowerPoint presentations Aptitudes:
Positive attitude Adept with technology Typing at least 45 WPM Excellent articulation, grammar and writing Desire and aptitude to become familiar with all facets of the Academy Strong organizational skills Ability to maintain professionalism in demeanor and appearance, when applicable, during personal, phone and written communication with clients and students Detail oriented and follow-through Patience with students and staff Desire to help people through training Proactive team player who enjoys pitching in and learning new tasks Ability to execute and manage multiple tasks simultaneously Efficient computer skills, including basic knowledge of Microsoft Word, Excel, PowerPoint and Outlook Comfort in a small, family business environment Willingness and ability to be trained in software Technical Skills:
Intermediate or better computer skills -- Windows operating system, knowledge of file types (JPG, TIF, PDF, etc.
) Intermediate or better knowledge of MS Suite:
